Preparing for CYBHI (Step 8 of 9): Plan for Staff Training
Welcome back to our blog series, 9 Steps for School Districts to Prepare for CYBHI. In our last post, we focused on parent communication and SIS updates, both critical for data integrity and transparency. Today, we’re shifting gears to an equally important part of CYBHI success: preparing your staff through strategic training and onboarding.
If your district has selected a CYBHI-aligned vendor and laid the groundwork for billing and compliance, the next step is making sure your team is ready. Training isn’t just about teaching people how to use new tools, it’s about giving your staff the confidence and clarity they need to fully engage in this work.
Why Staff Training Matters
CYBHI is reshaping how school-based mental health services are delivered and funded. For many districts, frontline providers will be billing for every interaction with students, potentially for the first time. Without strong training and communication, this new process can lead to confusion and hesitation, stalling implementation and causing missed reimbursement opportunities.
Manual claim submission can be challenging, involving a minimum of 43 different data fields and interfaces not optimized for provider efficiency, especially in high-volume situations. Proper training on a streamlined system is essential to prevent staff from feeling overwhelmed and to secure crucial funding for school mental health programs. That’s why staff readiness is essential. Training helps answer common questions, ease anxieties, and ensure that the people doing the work are equipped, not overwhelmed.
What Training Should Include
Every district’s approach will be a little different, but here are some key areas to cover in your staff training plan:
- Introduction to CYBHI: Offer a clear, accessible explanation of what CYBHI is, why it matters, and how it will benefit students and staff.
- The New Workflow: Walk through what’s changing and what’s staying the same—from documentation and check-ins to billing processes and expectations.
- Tool Training: Ensure all providers (internal and external) know how to use the district’s chosen platform for scheduling, session tracking, and claims submission.
- Compliance Basics: Provide a quick overview of what’s required to stay in compliance with state and federal guidelines under CYBHI.
- Support Channels: Let your team know where to go for help, whether it’s office hours, internal leads, or vendor support teams.
Training by Role
Not every staff member needs the same depth of training. We recommend tailoring your sessions based on roles:
- Mental health providers (counselors, social workers, wellness coaches) should receive hands-on training in documentation, service codes, and claims.
- Administrators and program directors may need deeper dives into reimbursement structures, compliance, and reporting.
- School site staff who may refer students or interact with mental health teams should be given a high-level overview of the system and where their responsibilities fit in.
Tad Tip: Make Training Simple and Supportive
At TadHealth, we make staff onboarding easier with:
- Live role-specific training so every team member gets the guidance they need
- Sandbox environments that let staff explore the platform without fear of making mistakes
- Office hours and ongoing support so staff can get answers as they implement what they’ve learned
We also work with districts to build “super user” programs, empowering key team members to help guide their peers.
The Benefits of Strong Staff Training
When training is done well, it leads to:
- Higher staff engagement and reduced burnout
- Fewer errors and claim denials
- Faster reimbursement and improved financial sustainability
- Stronger alignment across departments and teams
- A sense of shared ownership in building student wellness
Training isn’t just a box to check, it’s a foundational part of making CYBHI work for your district.
